Consumer Rights – Withdrawal – Cancellation and Refund Terms
By purchasing a subscription, selecting a plan, or starting a payment through the HostFlow platform, website, and related digital services (together, the "Service"), you are deemed to have accepted the pre-information form presented to you, these Delivery and Return Terms, and the Distance Sales Agreement.
Buyers / Users ("BUYER") are subject to Law No. 6502 on the Protection of Consumers, the Regulation on Distance Contracts (OG: 27.11.2014 / 29188), and other applicable legislation regarding the sale, performance, cancellation, and refund of the HostFlow subscription service.
HostFlow ("SELLER") provides software-as-a-service (SaaS / PMS) for short-term rental and hospitality businesses. The Service is performed digitally; there is no physical product shipment or cargo fee.
Access to the purchased subscription / service is provisioned to the BUYER's HostFlow account after payment confirmation and made available electronically, without exceeding the statutory maximum periods. If service access is not provided within this period, the BUYER may terminate the contract.
The Service must be provided completely, in accordance with the qualities stated in the order / plan, and in an electronically accessible form.
If performance of the Service becomes impossible, the SELLER shall notify the BUYER in writing (including email) within 3 days of becoming aware of the situation and refund the total amount to the BUYER within 14 days.
If the purchased service fee is not paid
If the BUYER does not pay the purchased subscription / service fee or cancels the transaction in bank / payment institution records, the SELLER's obligation to perform the Service and provide access ends. In this case, account access may be suspended or terminated.
Transactions made with unauthorized use of a credit card
If, after the Service has been performed / access has been provided, it is determined that the credit card used by the BUYER was unfairly used by unauthorized persons and the relevant amount is not paid to the SELLER by the bank or financial / payment institution, the BUYER must immediately stop using the Service and return (close) the account / access as instructed by the SELLER. Due to the nature of the digital service, physical return is not applicable; the SELLER reserves the right to close the related access.
If the Service cannot be performed on time due to unforeseen reasons
If force majeure events unforeseeable by the SELLER occur and the Service cannot be performed / made accessible on time, the BUYER will be notified. The BUYER may request cancellation of the order / subscription, replacement with a similar alternative plan, or postponement of performance until the obstacle is removed.
If the BUYER cancels:
- If payment was made by cash, wire transfer, or EFT; the amount is refunded to the BUYER within 14 days of cancellation.
- If payment was made by credit card / iyzico; the amount is refunded to the relevant bank / payment institution within 14 days of cancellation. It may take 2–3 weeks for the bank to post the amount to the BUYER's account; this period is outside the SELLER's control.
BUYER's obligation to check the Service
Before starting to use the Service subject to the contract, the BUYER shall check the plan scope, account access, and billing information. Access / plan assignments that are clearly incorrect, incomplete, or defective shall be reported to the SELLER immediately.
After access has been provided and use of the Service has begun; unless the BUYER notifies otherwise duly and within a reasonable time, the Service is deemed to have been performed in accordance with the order. If the right of withdrawal will be used, the limitations in the applicable legislation and these terms apply. Where a refund is requested, the invoice / payment document should also be provided if available.
Right of withdrawal
The BUYER may withdraw from the contract within 14 (fourteen) days from the date the purchased Service is performed / made accessible to them, by notifying the SELLER through the contact details below, without assuming any legal or criminal liability and without giving any reason. However, the provisions below on "Duration of the right of withdrawal" and "Cases where the right of withdrawal cannot be used" are reserved.

Duration of the right of withdrawal
For service contracts, the 14-day period starts from the date the contract is concluded.
The right of withdrawal cannot be used in service contracts where performance of the service has begun with the consumer's consent before the withdrawal period expires. In a HostFlow subscription, activation of the account after payment, provision of panel access, or commencement of use of the digital service may be considered as commencement of performance with the consumer's consent.
Costs arising from use of the right of withdrawal are not charged to the BUYER except where the law allocates them to the SELLER. To use the right of withdrawal, written notice must be given to the SELLER within 14 days by registered mail with return receipt, fax, or email, and the framework of "Cases where the right of withdrawal cannot be used" in these terms must be observed.
Use of the right of withdrawal
When submitting a withdrawal request, the following information should be provided where possible:
- Subscription / invoice information assigned to the BUYER or their account (for corporate invoices, a return invoice / documents issued by the relevant entity may be required; otherwise the refund process may not be completed)
- Refund / withdrawal request form or written request text
- Account email address, organization information, and transaction / payment reference
Due to the nature of the digital service, return of a physical product, box, or accessories is not applicable. Upon a withdrawal request, the SELLER terminates the related subscription access.
Refund terms
Within at most 10 days after receiving the withdrawal notice, the SELLER shall refund the total amount and return to the BUYER any documents that place the BUYER under debt; for the digital service, this obligation is fulfilled by closing access and initiating the refund process.
If the value / fee of the Service decreases or refund becomes impossible due to the BUYER's fault, the BUYER shall compensate the SELLER's damages in proportion to that fault. However, to the extent permitted by law, the BUYER is not held responsible for ordinary changes arising from proper use of the Service during the withdrawal period.
If use of the right of withdrawal causes the amount to fall below a campaign / discount threshold set by the SELLER, the discount provided under the campaign may be cancelled and deducted from the refund amount.
For card payments, refunds are generally made to the card / payment method used for collection. The time it takes the bank or payment institution to post the refund to the BUYER's account is outside the SELLER's control.
Cases where the right of withdrawal cannot be used
Under the Regulation on Distance Contracts, the right of withdrawal cannot be used for services performed immediately in an electronic environment, intangible goods delivered immediately to the consumer, digital content and software services, and services whose performance has begun with the consumer's consent before the withdrawal period expires.
In this context, for HostFlow the right of withdrawal cannot be used / is limited especially in the following cases:
- Activation of the account after payment, opening of panel access, or commencement of use of the Service
- HostFlow subscription service and digital software access performed immediately in an electronic environment
- Setup, integration, or consulting work specially configured at the BUYER's request or clearly according to personal / corporate needs and not suitable for return
- Support, onboarding, custom development, or managed service packages whose performance has begun with the consumer's consent
- Subscription fees for periods already used (mandatory cases under legislation reserved)
By making a payment through HostFlow or using the Service, the BUYER acknowledges that they have been informed about commencement of performance of the digital service and that the right of withdrawal may not be available in the relevant cases.
Default and legal consequences
If the BUYER defaults when payment is made by credit card, the BUYER accepts that they will pay interest under the credit card agreement with the card-issuing bank and will be liable to the bank. In this case the relevant bank may pursue legal remedies and claim arising costs and attorney fees from the BUYER.
In all cases, if the BUYER defaults on their debt, the BUYER accepts that they will pay the SELLER's damages arising from delayed performance. The SELLER reserves the right to suspend Service access and terminate the contract for unpaid subscriptions.
Payment and delivery (performance of the Service)
The BUYER may pay the subscription fee by one of the following methods:
- Bank transfer / EFT: [Bank Name], [IBAN / Account Details] (TRY)
- Credit card / debit card (iyzico): online single payment or available installment options through HostFlow
- Mail-order: in the manner notified by the SELLER for corporate customers or where operationally necessary
For online card payments, the relevant amount is charged to your card after transaction approval. Following payment confirmation, HostFlow Service access is provisioned electronically. This performance constitutes delivery / performance of the service for distance contract purposes.
For collections made by mail-order, identity and payment information are processed under confidentiality principles; possible dispute processes and legal retention obligations are reserved.
Updates to these terms
The SELLER may update these terms at any time. The updated text takes effect when published on the site or within the Service and, without requiring separate approval, is deemed accepted by continued use of the Service.
